As a fleet user with manager permissions, you have a variety of ways to manage assets for your fleet.
Add an Asset to a Depot
To add an asset:
- From the Portal, select your location, and Admin from the menu bar.
- On the Administrative Tools page, click Add Asset to go to the Add Asset page.
- On the Add Asset page, select SERIAL NUMBER or VIN from the dropdown menu.
- Enter the VIN or serial number into the search field, and click SEARCH.
- Locate the asset in the Existing Assets list, select the depot you want to add the asset to from the dropdown above the list, then click ADD in the ACTIONS column for the asset.
You will be taken to the Edit Asset screen with a green banner confirming the asset was added.
NOTE: If you cannot find your asset in the list, ensure your search information is correct and try again.
If the numbers are still not found, you can manually add an asset by scrolling to the bottom of the page and clicking Add a new asset manually. You will be taken to the Add Asset page where you can enter the asset information and click SAVE ASSET when complete.
Remove an Asset from a Depot
Removing an asset removes it from the depot. The asset will still exist in the system along with any cases related to it. It just won’t be associated with a depot anymore.
To transfer an asset to another depot:

Removing an asset is done from the asset page. You can get to an asset page by doing one of the following:
- Searching for the asset from the Search page and clicking its Serial Number from the search results.
- Searching for the depot the asset belongs to from the Depot Management page and clicking [Show] for the asset from the Assets section.
To remove an asset:
- Search for your asset as mentioned above and open it for editing.
- In the top right of the Show Asset page, click REMOVE.
You will receive a popup modal that asks if you are sure you want to remove the asset.
- Click OK.
On the Show Asset page, a green banner will show to confirm the asset is removed.
Transfer an Asset to Another Depot
Transferring an asset moves it from one depot to another in just a few steps. The asset information will update for any new cases and open cases related to the asset, but not for closed cases.
Transferring an asset is done from the asset page, just like removing it. You can get to an asset page by doing one of the following:
- Searching for the asset from the Search page and clicking its Serial Number from the search results.
- Searching for the depot the asset belongs to from the Depot Management page and clicking [Show] for the asset from the Assets section.
To transfer an asset:
- Search for your asset as mentioned above and open it for editing.
- In the top right of the Show Asset page, click TRANSFER.
- On the Transfer Asset page, enter any additional information that may need updating before you transfer.
- Scroll to the bottom of the page, and select the depot you want to transfer the asset to, then click TRANSFER.
On the Show Asset page, a green banner will show to confirm the asset is transferred.
Enter Asset Notes
Asset Notes are like Fleet Notes but specific to the asset instead of the depot. They’ll display at the top of the case and estimate PDFs for any case created for that asset.
Adding Asset Notes for an asset is done from the asset page, just like removing it. You can get to an asset page by doing one of the following:
- Searching for the asset from the Search page and clicking its Serial Number from the search results.
- Searching for the depot the asset belongs to from the Depot Management page and clicking [Show] for the asset from the Assets section.
To enter asset notes:
- Search for your asset as mentioned above and open the Show Asset page for it
- From the top right, click EDIT.
- On the Edit Asset page, scroll down to the Notes section.
- Type in any notes to save with the asset.
- Then click UPDATE ASSET.
